  • 1. Can I print DBA names on statements and other documents? Public
    Preview
Your credit union can elect to print the DBA name instead of the primary member name on all standard (non-custom) correspondence (use the link below to see the list of documents). This flag will be turned off by default. With the CU*BASE 9.2 release (August 2009), this flag is set as part of the Membership Designation code configuration, which means that you can set it differently depending on the type of membership. For example, you might want to use the member's name on most memberships  More...
  • 2. Are there any special requirements to order my member an ATM/Debit card embossed with their DBA name? Public
    Preview
There are no special requirements, however, to order a DBA name on a member plastic, the DBA account must first be a MO (Organizational) Membership Type, as MI (Individual) Membership Types do not allow for business name, or DBA, embossing.
  • 3. What is the best way to set up a trust account on CU*BASE? Public
    Preview
Trust accounts can be set up as either individual or organizational depending on the legal nature of the trust. Following are recommendations for handling situations when a member wants to set up a membership where the primary member and the first joint owner are, in essence, the same person. This happens most often for trust accounts. Currently in CU*BASE there are two ways to handle trusts: For trusts that use a person’s SSN (where you do not have a separate TIN for the trust), set up th  More...
  • 4. What's the best way to create a Representative Payee account on CU*BASE? Public
    Preview
In a nutshell, you will set up a Membership Designation Code for Representative Payee, with the label for primary name set to Beneficiary and the label for the joint owner name set to Rep Payee. Then the procedure is to open the membership in the beneficiary's name and SSN, then put the representative payee's SSN as the joint owner (type J secondary name link). TIPS: Remember that in CU*BASE the words joint owner simply are used to describe a particular record type in the Se  More...
  • 5. Can I set up individual and organizational trusts differently using the Membership Designation codes? Public
    Preview
Yes. In fact, that is the way we are now recommending you configure your codes and set up your member accounts. This not only makes it easier to track the different types of trusts, but more importantly, makes the field labels make more sense for your member service staff. Create a new Membership Designation Code (such as TO ) to be used only for Organizational trust accounts. The label for primary name would be Trust name and the label for joint owner name would be Trustee. Check only  More...

  • 7. What rules should be followed when entering a name or organization to a “Pay to Name” transaction attribute fraud block list? Public
    Preview
When making an entry on a transaction fraud block list, it is recommended to enter the name in various formats to supply a match to the attribute (such as pay to name) provided. A match of any of the words in the Pay To entry, creates a match. The word has to be the whole word and not a part of a word. It is not recommended that you use words such as Company or Inc. in the name since all entries with those words would then be flagged. When making the check or disbursement, if you have a pa  More...
  • 8. How are the rules for making an entry on the new membership denial of service fraud block list different than the rules for the other service denial fraud block lists? Public
    Preview
The rules for adding an entry to new membership denial block list are different than the rules for other service denial fraud lists. When making an entry on the new membership fraud block list, you have the option of adding a SSN/TIN and name, just an SSN or to enter a name without an SSN/TIN. You can enter a name without a match to the existing membership database. NOTE: If you only add an SSN to the block list, you can use the Comments section to add the person's name as a cross referenc  More...
  • 9. Explain how the new search engine works when it comes to searching for a member name. Public
    Preview
With changes that were implemented with the 21.12 release, in both Xpress Teller and Member Inquiry you'll use a separate field strictly for name searches (member name and organization name, NOT including DBA name). To narrow down your results you can choose whether to include both individuals and organizations in the results, or just look at organizations or individuals separately. Here's how it works: If you enter a single word into the name search field, CU*BASE will show all records  More...
  • 10. How is the data gathered for the new search engine that's used by Member Inquiry and Xpress Teller? Public
    Preview
We pull data from many different tables into a new behind-the-scenes table called a view. When a search is performed we look at everything in that view and return a result wherever we got a hit in any column or row in that table. The view selects data from the following files: MASTER membership info (account base, DBA name, employee #*, last name, first name, middle initial, reference*, SSN, member type) MSNONMBR non-member info (SSN/TIN, first name, last name, middle initial, member type) Th  More...
  • 11. With the changes to the search engine that separate name searches from other ones, does the "Include" flag (for individuals vs. organizations) pertain to other searches besides names? Public
    Preview
No. That option is only used to narrow down the result of a name search, so you can choose whether to include both individuals and organizations in the results, or just look at organizations or individuals separately. If you are searching for other data, such as a phone number or email address, etc., all membership types will be included. TIP: Remember that if you want to look for a DBA name, you must use the Other search field.
  • 12. Are DBA names printed on tax forms or reported to the IRS? Public
    Preview
No. DBA names are never used on tax forms or for IRS reporting, regardless of whether your credit union normally prints DBA name on correspondence.
  • 13. Can I print both the member name and the DBA name at the same time on things like statements or other documents? Public
    Preview
In most cases*, no. If you configure your Membership Designation to print DBA name, it will always print instead of the member name on printed correspondence. This is because the places where this prints typically do not have enough space to add yet another line to the inside address, especially where window envelopes may be involved. *The one exception to this is Misc. Member Account Forms, where you can choose to print both if desired.
  • 14. If I choose to print DBA name, on what forms and other documents will it appear in place of the member name? Public

Member statements Member envelopes (laser and dot matrix) Certificate laser forms Misc. Member Account Forms* Notices Receipts Denial Notice Forms Generic Membership Application Form Member Starter/Replacement Checks (effective 12/12/05) Currently DBA name does not print on the transaction history report nor does it appear on the generic loan application forms and loan officer worksheet. *For Misc. Member Account Forms, both member name and DBA can be selected.
  • 15. How do I set up a DBA account on CU*BASE? Public

Simply create a membership as usual, then fill in the DBA name in the DBA name field. By Membership Designation code, you can choose the label for this field as well as whether this should print on correspondence such as statements (see the link below for more information).
