To remain compliant with CAN-SPAM rules and to ensure all your email messages are delivered to members, you must include the following:
  1. Clearly identify the credit union name, address, phone number, and member service email address in the body of the email.
  2. Clearly identify the purpose of the email in the subject line.  (See SAMPLE MESSAGES below.)
  3. Make a web-friendly Signature Line message. (SEE SAMPLE SIGNATURE LINE MESSAGE below.)
  4. Clearly state why the member is receiving the email.
  5. Ensure your message uses proper grammar, spelling, and punctuation.
  6. All emails must include an unsubscribe link. Having the member reply to the email or call a number decreases the delivery rates of your message.  Simply have the link say, "Unsubscribe" and have it link to an external opt out website (that you will need to monitor).  Don’t include extraneous text such as “...and fill out our form to unsubscribe” as some ISPs consider that an indication that the email is spam.

  7. Verify the member’s email address at every interaction to ensure you always have the latest correct (correct spelling, correct domain) email address for them.
    • You may notice that many companies have become very aggressive verifying customer email addresses. Credit unions should be no different.
  8. Disable or correct any email address that bounces or is known to be bad immediately. Continuing to send emails to known bad addresses creates a negative email reputation for every single credit union sending emails from CU*BASE.

    • NOTE: The member cannot opt out of receiving the eStatement notification message.  Their only option is to unenroll from eStatements if they do not want to receive these types of emails.  Education is key in this area.
    • NOTE: Use Tool #262: Configure Monthly eStatement Emails (or Tool 497: Member Connect Marketing Tools, then Message Type ES) to update your eStatement notification text.
