Unfortunately not all of the files used for Participation Lending reports are run using month-end "E" files (the EOM snapshot), but rather pull from current participation lending files.
When a loan is deleted from Participation all PLLOAN and PLHIST records are deleted with that – this is why rerunning any reports are changed; there is no history to include in those new reports. We recommend the following:
- Always make sure you create and ARCHIVE the reports needed when processing end of month or end of settlement cycle so that you can retrieve them from CU*SPY or your monthly CD (if past the archive time period).
- In lieu of deleting the participation record in full you can update to 0% participated (valuable when the same suffix is being used over) and/or change the leading digit on the investor reference number to 0 so that it will get kick out of the investor file as NOT OUR ITEM by the investor.
- Maintaining records for a minimum of 3-4 months (as policy) is also beneficial for quarterly reporting such as in the case of Rural Development loans. Then, if after a designated amount of time, say 6 months, you should be able to clean up participation by deleting dead records.
