From a front-line inquiry standpoint, there’s no better record-keeping option than having people check member Tracker histories. The notice type, date, and contents are easy to look up in tracker history, but prior ones are available to scroll back through as well so you can see context of the individual member’s history with that type of notice, or others.
When it comes to the ability for staff to review this data for proactive outreach, such as to see who has delinquent loans and try to contact members by phone before mailing the notice, Query improvements are the solution. There are Query functions that can edit the SMNOTEDT table (which contains notice data) into an organized and clean report of all notices for the prior day (or week, etc), by member, or by notice type, or by timestamp, whatever you like. Also, these can be automated to generate on a daily (or weekly, etc) frequency for printing to your CU*Spy document archive and/or your HOLDxx out queue, and/or one of the printers at your offices.
