Is it possible to set up a membership without an actual SSN or TIN? If a fake SSN is created is it possible for that member to receive tax documents?
CU*BASE does require a number to be entered, but you can create a membership using an imitation SSN. See the related links below for guidelines and tips. As far as tax reporting, CU*BASE cannot validate SSN/TIN information. Your credit union is responsible for providing accurate information for tax reporting. Since we do not hear from the IRS on these situations, our assumption is that the IRS will treat imitation SSNs/TINs the same as any other invalid number and correspond with your credit More...

Where does property tax or PMI information get entered into CU*BASE?
This data comes from the TAX file. This file is created automatically at year-end and populated with things like dividends, interest paid, and other details to be reported to the IRS and printed on tax forms. When it comes to Property Tax and PMI, things get a little complicated. Over the years the IRS has shifted back and forth as to (a) whether we are obligated to report this data to the IRS or (b) whether it can simply be reported to members via the 1098 form, regardless of whether the IRS More...

If our tax forms are uploaded to "It's Me 247", how will members who are not enrolled in eStatements receive their tax documents?
Regardless of whether a member is enrolled in eStatements, the member will receive a paper copy of their tax documents in the mail, provided they earned enough dividends (or paid enough interest) through the tax year to qualify for a tax form. The presentation of tax documents in the My Documents section of It's Me 247 is an additional convenience that makes the forms readily available online, often earlier than they are provided by via mail. Can I prevent a member who is not a U.S. Citizen from being included in tax forms and reporting to the IRS?
Members who are not U.S. citizens should have the Foreign citizen or Foreign corporation flag checked on their MASTER membership record. This can be done when creating the membership, or by using Tool #15 Update Membership Information (shortcut: umbr) . Memberships flagged this way will not be included in IRS reporting or tax forms processing. NOTE: This is different from the Foreign address flag, which just controls the format of the member's address. This is so that a foreign c More...

How do I use CU*BASE tools to keep track of the beneficial owners on my business accounts and other memberships?
Using CU*BASE to Comply with New Rules for Tracking Beneficial Ownership FinCEN has issued new rules under the Bank Secrecy Act that require financial institutions to identify and verify the identity of the beneficial owners of all legal entity members (corporations, etc.). Under the final rule, credit unions are required to have written procedures to identify and verify beneficial owners of legal entity members who open new accounts on or after May 11, 2018. There are several configurations that control the member’s ability to set up and maintain Automated Funds Transfer (AFTs) online. Does your credit union's Personal Internet Branch configuration allow the maintenance of AFTs? Are AFTs configured to show in online banking? Does the member's PIB configuration allow maintenance of AFTs in online banking? For existing AFTs: Is the record locked to prevent changes in online banking? 1. We are thinking of activating the new See and Jump features for online banking. Can you explain the thinking behind the security, and why only an account owner can have this access?
IMPORTANT NOTE: When It’s Me 247 was updated in 2021, the “See” option shown on here was made unavailable. There are two major points to consider when thinking about allowing members to see information beyond the account to which they are actually logged in. Both extend beyond online banking to consider a financial institution’s role and responsibility in protecting member private data via all access channels, from the teller line to a back office employee answering More...

We would like to locate information on the number of tax files sent to the IRS for our members. Where would we find this information?
The reports on you would be looking for are the P1099*, P1098* and P5498* reports. These reports are sent to CU*Spy when we send the files to the IRS. They are bundled with the Daily Reports for that day. If the P1099* and P1098* reports are no longer in CU*Spy, you may need to look at your March Reports CD. The P5498* reports should be in CU*SPY or on your May Reports CD. We also send these reports to a credit union's inhouse eDOC server if you have one. The Tax CD you receive contai More...

Why does CU*BASE show delinquency in two different ways? In some places it is months/days and others it is actual number of days.
There are two methods used to track delinquent loans for reporting purposes in CU*BASE: Method One (for Collections tracking) We have always tracked delinquency in two separate fields for “Months” and ‘Days” in the member files. When a loan is 30 days delinquent, it shows as “0 Months, 30 Days” delinquent. When a loan is 31 days delinquent, it is “1 Month, 0 Days” delinquent. A month is always considered 30 days regardless of the actual number o More...

I have a husband and wife who both receive Social Security payments to the same membership. Now that CU*BASE uses the new way of handling ACH transactions from the SSA, these are causing duplicate distributions to be posted. What should I do if my members still wish for them to be separate transactions?
With the 16.10 release a new cross-reference system was implemented that automatically funnels all incoming company IDs from the Social Security Administration and treat them as if they came from one, consistent company ID we’re referring to as the “Primary ID.” In cases where the Depositor ID is the same, for example a husband and wife, these ACH transactions will be handled by the same master ACH distribution record under the Depositor ID since duplicate Depositor IDs are no More...

My member closed their account in November and received a November Statement but did not receive a December Statement. Why? How will they get their 1099-INT information?
If the member closed their account in November, they would receive a final statement for their November transactions but will not receive a December Statement as they did not have any transactions in December and the account was not active. This would also be true for members who closed their accounts earlier in the year. Why does CU*Answers charge a monthly fee for running service charge programs we configure ourselves in CU*BASE?
There are two primary reasons we charge this fee: Our belief that we should do our best to keep our fees down when credit unions do not earn. This is why, for example, It's Me 247 mobile web is offered free to our credit unions. It's also behind our constant pressure to reduce fees where CUs have no basis or belief they can charge for a defensive, relationship service. Charging for these services in this manner fund other areas where the direct expenses cannot easily be identified wi More...

Why on an ATM or Debit card do I need to flag a member's card as "hot" and also close the same card in order to close the linked account or close the membership?
When a credit union statuses a member's card as 'HOT' or warm (Lost/Stolen/Fraud/Restricted), this information is transmitted immediately to your vendor to stop any further withdrawals/purchases being performed with that particular card. But at your vendor a 'Hot Card' is not considered to be a closed card. When your member's card remains at a HOT or Warm card status on CU*BASE, CU*BASE is still required to send any maintenance updates such as address change, phone numbe More...

Yes, by making use of both a Misc. Receipts and a Misc. Expense posting code, so that you can put the funds temporarily into a G/L then issue a check from that same G/L. Here are the key steps: First, configure two posting codes, using Tool # 534 Misc. Posting Codes Configuration. For the first one, choose the Receipts type and set up a code that will allow you to place funds into a G/L account.
