How do I use CU*BASE tools to keep track of the beneficial owners on my business accounts and other memberships?
Using CU*BASE to Comply with New Rules for Tracking Beneficial Ownership FinCEN has issued new rules under the Bank Secrecy Act that require financial institutions to identify and verify the identity of the beneficial owners of all legal entity members (corporations, etc.). Under the final rule, credit unions are required to have written procedures to identify and verify beneficial owners of legal entity members who open new accounts on or after May 11, 2018. In addition to identifying and coll More...

When I create my budget in CU*BASE using the asset/liability modeling tools, is there a special technique I have to use to keep assets equal to liabilities and equity on my balance sheet? For example, if I project $10 million in growth of loans and $10.5 million growth of shares, the $500K difference has to go somewhere so the total assets and liabilities are in balance. In the past I’ve used budgeting software that has a balancing account that acts as either a cash account or a borrowing account, depending on where it is needed, to keep assets equal to liabilities and equity.
The CU*BASE Budget tools are not intended to project your entire balance sheet. While some software products do that, that was never our intent. Our purpose in modeling select assets and liabilities is to create a projection to be used to calculate the income and expense for the budget. It results in a few simple things: You can create reports to present how you see member balances growing in the future. You can create reports to present the actual member balance in comparison to your project More...

The Selective Loan Information Report (Tool #788) summary total for "Total Loans Disbursed" does not use the Disbursement Limit. Can you tell me what it is using to get the total?
This report uses the field called Disbursed Amount in the MEMBER5 or MEMBER6 data file. This is an accurate representative total of the amount that was added to your loan portfolio. Other reports, such as the Contingent Liability Analysis Report (Tool #280), use the Disbursement Limit to derive the amount of contingency balance by subtracting the current balance from the disbursement limit.

I’m new to CU*BASE. Can I manually enter my G/L history so that I can use the trending tools when working my budget?
Yes, this is possible in most cases, at least for the monthly balances that are used by most budgeting tools and trending dashboards. Since importing detailed history of debits and credits to G/L accounts might not be possible, keep in mind that functionality may still be limited for some tools. Contact Keegan Daniel, VP Professional Services, at kdaniel@cuanswers.com to discuss your options for either flooding data into your database or manually entering data that could be used by the budget to More...

Using CU*BASE Budgeting tools, can I just take my last year actual and figure my budget to be 5% higher?
Yes. We call that the “classical” budgeting method and you can do this without using any of the modeling tools if you like. You’ll still need to do steps 1 2 to configure your chart of accounts, then proceed directly to step 9 and budget all of your income and expenses using the same technique, using as many passes as needed for different calculation parameters.

I am using Tool #1375 Data Transfers (Upload or Download) to download a file to my PC. I am getting a "Server returned SQL error" message when I use the "browse" button to find my file name on the iSeries.
This can happen when using the Browse button if the File name field is blank, like this: This error message appears: To prevent this error, before clicking the Browse button, enter QUERYxx/ (where xx is your CUID) into the File name field. This tells the system where to look for your files (and more importantly, gives it a location from which you are authorized to download):

I am using Tool #788 Selective Loan Information Report. When I request loan totals opened YTD, does it include all loans opened, even those paid off the same year it was opened? I want to review all loan accounts created last year.
Tool #788 Selective Loan Information Report only looks at open loans with the potential exception of written-off loans. The CU*Answers Lender*VP team recommends using Tool #552 New/Closed/All Accounts Dashboard instead, as it will show an open date and closed date on the screen if the account has been closed already. Tips for this dashboard: Use the entry screen to select accounts that were opened or closed during a specific period. Use the associated open or closed Checklists for quality cont More...

I am running the Selective Loan Information Report (Tool #788) to get a loan trial balance, and I want to use the "Last disbursed" date range to see loans disbursed during a particular month. There are a couple of loans that were disbursed on the last day of that month but they aren't on the report. What is happening?
This has to do with the difference between the business date and activity date on a transaction that occurs around midnight, when the system might still be processing on today's business date but the clock has already moved past midnight to a different activity (system) date. For example, a member uses online banking after midnight on the 1st but we haven't yet done EOD for the 31st, then the last disbursed date on that loan account record will still be recorded as the 1st (the activity More...

We received a response to a notice email from a non-member email address like john.sample@gmail.com. When we lookup the email address on the system using the Email Address Reverse Lookup tool we get no results found. I did find a member named John Sample with the email address of John.Sample@gmail.com who changed their password via online banking today. Is the system stripping out periods (.)?
This actually has to do with Gmail. Gmail doesn't necessarily care about periods. We verified this using some of our own personal Gmail accounts and received the message regardless of whether or not there is a period in it. In theory, it’s possible that this hasn’t always been true, and maybe these are legacy accounts, but if that is the case that is something with Gmail that we cannot control. There is an article on Google that goes more in depth about this issue with Gmail, see More...

I was doing some research on a member's account, using Tool #15 Update Membership Information. I didn't change any data, but did Enter through all of the screens. Later on I noticed a record in the CU File Maintenance log that showed a change I didn't remember making. What could have happened?
Over time, when new features are added to CU*BASE that require new flags on membership and account records, we sometimes elect to implement those without doing corresponding database floods to set all of the new flags on all existing accounts. Instead, we instruct maintenance programs (like Tool #15 Update Membership Information or Tool #20 Update Account Information , as examples) to simply input any missing flags to the default value automatically, on the fly, any time the maintenance program More...

The FACT Act requires we notify members when a credit score was used to determine eligibility for a mortgage loan. How can I use CU*BASE tools to comply with this requirement?
Option 1: Create a Misc. Member Account Form with the appropriate text, and add a procedure for your loan processors to print this form whenever a loan like this is created. Since the CU*BASE online credit bureau system has no way to know if a credit score is used in the underwriting decision, nor whether the credit report was used for a mortgage or home equity loan, this will be manual process. HINT: This step could be added to the Electronic Checklist feature for your mortgage and home equity More...

We would like clarification on why aliases found on the OFAC Sanctions list do not result in True-Positives when searched using Tool 778 (Scan a Single Name Through OFAC). Reviewing the "Using the CU*BASE Data Match System for OFAC Compliance" resource, it states that AKA names are searched. Evidently there are two AKA lists, one embedded in the SDN Comments Section and a separately published list.
This is what FinCEN has stated in the past about weak aliases: Am I required to screen for weak aliases (AKAs)? OFAC’s regulations do not explicitly require any specific screening regime. Financial institutions and others must make screening choices based on their circumstances and compliance approach. As a general matter, though, OFAC does not expect that persons will screen for weak AKAs, but expects that such AKAs may be used to help determine whether a 'hit' arising fro More...

Is there a way to see what user (login) ID a person was using when they accessed various CU*BASE tools?
Yes, there is an Employee Security Audit Log table (SECAUD) that logs a record every time a tool is accessed from the CU*BASE home page. That log includes the person’s 2-character employee ID as well as the CU*BASE user ID (the ID that was used to log in to that workstation) and other details. Tool #1695 View User/Employee ID Security (SECAUD) is a canned Query that looks at data in the SECAUD table, showing both attempted and successful access to CU*BASE tools by employees. My member gets a Social Security (SSA) deposit via ACH. We use an ACH distribution to pay the member’s loan payment, but the loan payment was not made. Why did this happen and what benefits are there to using an Automated Funds Transfer (AFT) instead?
Prior to the 16.10 release, the SSA began using multiple Company IDs, and it was recommended that credit unions consider using Automated Funds Transfers (AFTs) to handle distributions. Beginning the 16.10 release a new cross-reference system will be implemented that will automatically funnel all incoming company IDs from the Social Security Administration and treat them as if they came from one, consistent company ID we’re referring to as the “Primary ID.” With the changes ma More...
