I'm trying to use the Open/Closed Memberships dashboard to analyze my entire membership, by entering a date range that goes all the way back to when my CU was chartered. It doesn't appear to show all my members, though.
Dashboard lists like this are limited (by our core IBM platform) to a maximum of 9,999 records. Certain analysis features that count and display summary information are able to deal with much higher quantities of records, of course, but any program that lists records one after the other, the way these dashboards do (it's sometimes referred to as a subfile ), cannot accommodate more than 9,999 individual items in the display. That's one of the reasons we include so many filters so you More...

When looking at the ATM/Debit or Credit Card Activity screen, what does the indicator in the Type and Transaction Description mean?
The fields are related to Process Codes, in that they are derived from the code attached to the message received from the plastics processor (vendor, or switch). The Type you see in the initial Type column of the Activity screen relates directly to the Transaction Description when you view additional transaction details. Transaction types may not apply to all vendors. Examples of these labels are as follows: DEP (Deposit Transactions) ATM/DEP A deposit made at an ATM. ATM/DEP - including a $ More...

Using CU*BASE to Comply with New Rules for Tracking Beneficial Ownership FinCEN has issued new rules under the Bank Secrecy Act that require financial institutions to identify and verify the identity of the beneficial owners of all legal entity members (corporations, etc.). Under the final rule, credit unions are required to have written procedures to identify and verify beneficial owners of legal entity members who open new accounts on or after May 11, 2018. What's the best way to create a Representative Payee account on CU*BASE?
In a nutshell, you will set up a Membership Designation Code for Representative Payee, with the label for primary name set to Beneficiary and the label for the joint owner name set to Rep Payee. Then the procedure is to open the membership in the beneficiary's name and SSN, then put the representative payee's SSN as the joint owner (type J secondary name link). Why on an ATM or Debit card do I need to flag a member's card as "hot" and also close the same card in order to close the linked account or close the membership?
When a credit union statuses a member's card as 'HOT' or warm (Lost/Stolen/Fraud/Restricted), this information is transmitted immediately to your vendor to stop any further withdrawals/purchases being performed with that particular card. But at your vendor a 'Hot Card' is not considered to be a closed card. When your member's card remains at a HOT or Warm card status on CU*BASE, CU*BASE is still required to send any maintenance updates such as address change, phone numbe More...

Why does CU*BASE show delinquency in two different ways? In some places it is months/days and others it is actual number of days.
There are two methods used to track delinquent loans for reporting purposes in CU*BASE: Method One (for Collections tracking) We have always tracked delinquency in two separate fields for “Months” and ‘Days” in the member files. When a loan is 30 days delinquent, it shows as “0 Months, 30 Days” delinquent. When a loan is 31 days delinquent, it is “1 Month, 0 Days” delinquent. A month is always considered 30 days regardless of the actual number o More...

How can I tell just how often my members are having to change or reset their online banking passwords?
Ever wondered just how many times members really do call up and ask that their online banking password be reset? Might seem like some members call every other day, but until now there wasn’t really an easy way to tell. The new PIN/Password Change History tool was designed to answer that question quickly and easily, whether for one member or for all members as a trend. I have a husband and wife who both receive Social Security payments to the same membership. Now that CU*BASE uses the new way of handling ACH transactions from the SSA, these are causing duplicate distributions to be posted. What should I do if my members still wish for them to be separate transactions?
With the 16.10 release a new cross-reference system was implemented that automatically funnels all incoming company IDs from the Social Security Administration and treat them as if they came from one, consistent company ID we’re referring to as the “Primary ID.” In cases where the Depositor ID is the same, for example a husband and wife, these ACH transactions will be handled by the same master ACH distribution record under the Depositor ID since duplicate Depositor IDs are no More...

How does a member's account get debited for bills they schedule through "It's Me 247" Bill Pay (Fiserv)?
In one of three ways: Note: The term 'subscriber' refers to your 'member'. Electronic Payments (ACH) - Fiserv's preference is to send all payments electronically. However in the Risk Model format it is not always feasible. Fiserv submits the merchant payment (via the fed) from a Fiserv settlement account the same day we submit the debit (via the fed) to the subscriber account. Fiserv is taking the risk on the payment. Electronic payments are typically sent when the subscr More...

How does CU*BASE handle Plastic reissues for my ATM/Debit/Credit card products?
CU*BASE does not perform any automated card reissues for any credit union or vendor. With the exception of two platforms*, all plastic card reissues are done for the credit union by their vendor. The normal process is the vendor sends the CU a couple of reports once monthly (usually 6 weeks out from expiration of card). One is a reissue report, the other a non-reissue report. The CU reviews and makes changes to the vendor system prior to their cutoff date for ordering the reissues. All cards More...

There are several configurations that control the member’s ability to set up and maintain Automated Funds Transfer (AFTs) online. Does your credit union's Personal Internet Branch configuration allow the maintenance of AFTs? Are AFTs configured to show in online banking? How do member phone numbers work as they relate to card orders and maintenance?
CU*BASE uses phone numbers that are stored in the MASTPH file when generating card activation information to send to vendors on initial card orders. The numbers in MASTPH are determined by the label/flag applied in Tool #3 Open/Maintain Memberships/Accounts or Tool #15 Update Membership Information as follows: Nighttime # - primary phone number sent to vendor and defaulting into the Card Activation field when ordering a card. Daytime # - secondary phone number sent to the vendor. Mobile – More...

A member did not get either an October or November statement, but his December statement showed a range of 12/1 to 12/31, not 10/1 to 12/31 as I would have expected. Can you explain?
In this particular member's situation there was no activity in either October or November that triggered a statement. The credit union's quarterly (and year-end) statements are configured to produce a statement for every member, regardless of activity level, but monthly statements are more restrictive in an attempt to save postage costs, and not every member gets a statement every month. NOTE: CU*BASE statements have a considerable number of configuration options that allow credit unio More...

Can you explain how the system secures funds for debit card authorizations?
The process can vary a bit according to the vendor, but here's a discussion about how it works for credit unions on the CO-OP network, as an example. In most cases, debit card authorizations create a Misc. Secured Shares record on the member's account to hold the funds. When the actual transaction comes in, this record is automatically deleted. (There are exceptions to this rule, such as gas purchases.) A little history: In the past, debit card authorizations would add a hold to an ind More...

When looking at the ATM/Debit Activity screen, what is the Process Code and how does it affect how member's transaction is being processed on CU*BASE?
The Process Code or PROC CODE on this screen refers to which accounts CU*BASE is going to look at to see if we can authorize the transaction or which account we are going to process against when the vendor is sending a completion. It is a 6 digit field and is broken down into 3 sections to determine how CU*BASE should process the transaction. We have non-members who want to cash checks in our lobby but instead of receiving cash back, they want an official credit union check for a better paper trail. Can this be done using non-member teller processing?
Yes, by making use of both a Misc. Receipts and a Misc. Expense posting code, so that you can put the funds temporarily into a G/L then issue a check from that same G/L. Here are the key steps: First, configure two posting codes, using Tool # 534 Misc. Posting Codes Configuration. For the first one, choose the Receipts type and set up a code that will allow you to place funds into a G/L account. For the second one, choose the Expenses/Advances type and set up a code that will allow you to More...

My member closed their account in November and received a November Statement but did not receive a December Statement. Why? How will they get their 1099-INT information?
If the member closed their account in November, they would receive a final statement for their November transactions but will not receive a December Statement as they did not have any transactions in December and the account was not active. This would also be true for members who closed their accounts earlier in the year. For example, for a membership closed in April, the member will receive their final statement at the end of April then will not receive another statement again (not even the q More...

When ordering a plastic for my member, the card activation phone number is all zeroes and I cannot order a card.
When the Card Activation Phone # field is all zeroes, you must either manually enter a phone number for vendor transmission in the card ordering screen, or navigate to Tool #15 Update Membership Information and update the primary member phone number with the Nighttime # flag. Note that manually updating a phone number in the card activation area does NOT update the member record, and is only used for the card activation file.
