What causes a member check to be returned as 'Refer to Maker'?
Previously, credit unions used Code 38 for “Return to Maker”, but this code is no longer available in the system. This change was initiated by a Reg CC change in 2018. Now, if you are presented with a situation where you need to return a check to another institution, it is recommended that you use one of these codes to clarify the reason for the check return. Some codes allow you to make the change in CU*BASE. Others require that you contact your Check Item Processor. Read below for More...

How should I reverse a loan payment or savings deposit that was done to the wrong account?
If the transaction was performed the same day, reverse using Tool #31 Reverse Tran/Adjust Tlr Drawer (Same Day) and then rerun transaction correctly. If the transaction was performed on a previous date, reverse using Tool #354 Effective-Dated Transfers . CU*BASE will automatically adjust the dividend/interest amounts for you. If you want to be able to override the dividend/interest amounts, use Tool #353 Effective-Dated Account Adjustment instead.

When looking at the ATM/Debit or Credit Card Activity screen, what does the indicator in the Type and Transaction Description mean?
The fields are related to Process Codes, in that they are derived from the code attached to the message received from the plastics processor (vendor, or switch). The Type you see in the initial Type column of the Activity screen relates directly to the Transaction Description when you view additional transaction details. Transaction types may not apply to all vendors. Examples of these labels are as follows: DEP (Deposit Transactions) ATM/DEP A deposit made at an ATM. ATM/DEP - including a $ More...

I accidentally hit my SHIFT key a bunch of times, and a window popped up on my screen that I clicked OK on, and now my keyboard is acting really funny.
If you press the SHIFT key five times in rapid succession it will ask if you would like to turn on StickyKeys. If you click OK, it will turn on StickyKeys. StickyKeys is an accessibility option in Windows that allows for someone to use the CTRL, ALT or SHIFT keys one key at a time without having to hold the keys down. To turn StickyKeys off: Click on the Start button Click Control Panel If you see “Pick a category” with 10 categories below, click Accessibility Options, and then c More...

Why does CU*BASE require two steps to perform a teller correction - deleting an audit key and completing a member transaction reversal?
Because of CU*BASE design to integrate directly to the general ledger is one of its most impressive features, the teller system needs to process as its own section. In order to discourage inaccurate or misleading transaction reversals or back-dating, the dual system segreates the teller drawer (cash) from the member transactions and balances. If the two steps are not completed correctly, the general ledger will be out of balance. Fortunately you can use Tool #31 Reverse Tran/Adjust Drawer (Same More...

What methods does CU*BASE have for reversing member transactions and correcting the teller drawer?
A member comes in to the lobby and presents a paycheck, requesting some in cash and some to be deposited as a payment on his loan account. On his way out the door he remembers that he already sent the loan payment in the mail and wants to cancel the transaction and just cash the entire check. How do you adjust his accounts? There are several configurations that control the member’s ability to set up and maintain Automated Funds Transfer (AFTs) online. A large loan payment was made in error so it was reversed using the "95" Account Adjustment code. Why would the Auto Funds Transfer system transfer the exact amount of the reversal in the evening?
The large loan payment was applied as a principal-only payment, which does not move the next payment due date on the loan. When the payment was reversed using the 95 reverse loan payment code, the due date was backed up and made the loan delinquent. That evening, the Auto Funds Transfer system tried to satisfy the delinquency on the loan because the delinquency control flag was turned on in the AFT record. Whenever you reverse a loan payment, make sure to review the loan due date before an More...

Can I reverse a charged-off loan?
There is no way to reverse a charge-off. (This term refers to a loan that was closed, with the entire amount owed taken off the books.) A new loan would have to be created with the same information in the amount that was charged off. You can then use the loans proceeds to pay the charged-off loan. Tip: When you reopen the loan in CU*BASE, it is possible to reopen with the same suffix if you wish. We would recommend to watch the account to make sure it is reporting correctly to the credit bureau More...

My member gets a Social Security (SSA) deposit via ACH. We use an ACH distribution to pay the member’s loan payment, but the loan payment was not made. Why did this happen and what benefits are there to using an Automated Funds Transfer (AFT) instead?
Prior to the 16.10 release, the SSA began using multiple Company IDs, and it was recommended that credit unions consider using Automated Funds Transfers (AFTs) to handle distributions. Beginning the 16.10 release a new cross-reference system will be implemented that will automatically funnel all incoming company IDs from the Social Security Administration and treat them as if they came from one, consistent company ID we’re referring to as the “Primary ID.” With the changes ma More...

When I reverse an NSF fee for a member, does that change the NSF history statistics as well?
No, those statistics are only updated when the original posting program charges a fee to the member. The idea behind this stats file is to record the member was NSF when the item originally came in, regardless of why. There may be several reasons why you reverse the fee, not all of which would mean the history should be changed. (For example, say the item came in NSF but the member had called and said his paycheck was coming tomorrow, so you gave him a break and reversed the fee. In this cas More...

Using CU*BASE to Comply with New Rules for Tracking Beneficial Ownership FinCEN has issued new rules under the Bank Secrecy Act that require financial institutions to identify and verify the identity of the beneficial owners of all legal entity members (corporations, etc.). Under the final rule, credit unions are required to have written procedures to identify and verify beneficial owners of legal entity members who open new accounts on or after May 11, 2018. We are thinking of activating the new See and Jump features for online banking. Can you explain the thinking behind the security, and why only an account owner can have this access?
IMPORTANT NOTE: When It’s Me 247 was updated in 2021, the “See” option shown on here was made unavailable. There are two major points to consider when thinking about allowing members to see information beyond the account to which they are actually logged in. Both extend beyond online banking to consider a financial institution’s role and responsibility in protecting member private data via all access channels, from the teller line to a back office employee answering More...

There are still screens and reports here and there that show labels such as “Home phone” and “Cell phone” but those don’t look like my CU-defined labels nor the ones entered when setting up the phone number for the member. What do these labels mean?
When the new database was created it was not feasible to adjust all of the hundreds of programs, custom forms, and reports where phone numbers happened to be used. So the original labels used prior to the 18.07 release may still appear here and there. That’s why the new database automatically copies contact numbers back to the original locations in MASTER and MASTRL, so these locations can still be used by those programs that were not adjusted to use the new MASTPH table directly. As a r More...

How can I look up member account adjustments I posted today, since they won't interface with the general ledger until tonight?
If you forget the details for a member account adjustment you posted for the current day, or wonder to which general ledger you posted the offset, you can inquire on these transactions before they interface to the general ledger history with the TR posting at end of day (EOD). To do this, run Tool #691 Print TR Analysis (J/Es for Mbr Trans) for the current day and search it for the desired adjustments. If the adjustments appear on this report they will interface to the general ledger with the More...

When should I suppress a Reversed transaction to keep it from appearing on a member's statement?
Our recommendation is to suppress the transaction if it is the last transaction for that day. If there are transactions after that, do not suppress the transaction. It will affect the running balance shown on the member's statements. TIP: When you do decide to suppress a transaction, we recommend you place an asterisk (*) in front of the transaction description. Why on an ATM or Debit card do I need to flag a member's card as "hot" and also close the same card in order to close the linked account or close the membership?
When a credit union statuses a member's card as 'HOT' or warm (Lost/Stolen/Fraud/Restricted), this information is transmitted immediately to your vendor to stop any further withdrawals/purchases being performed with that particular card. But at your vendor a 'Hot Card' is not considered to be a closed card.
